How to Replace Your Fax Machine with Cloud eFax in 5 Minutes
Your fax machine is a relic from the 1980s that is costing your business money every single day. The dedicated phone line runs $30 to $50 per month. Paper and toner cost $50 to $100 per month. It takes up desk space. It jams constantly. And when it breaks, you are out of commission until you buy a new one. The good news: you can replace it with cloud eFax in about 5 minutes and keep your existing fax number.
Step 1: Sign up for a cloud eFax service. Choose a provider like DiaFax that offers a dedicated fax number, unlimited sending and receiving, and the ability to port your existing fax number. DiaFax costs $15 per month — less than what you are paying for just the dedicated fax phone line. Sign up takes about 2 minutes.
Step 2: Port your existing fax number. This is the most important step. You want to keep your existing fax number so all your contacts, referral sources, business cards, and printed forms still work. Your eFax provider handles the porting process. It typically takes 7 to 10 business days. During the port, your old fax machine continues to work normally. Once the port completes, incoming faxes are delivered to your cloud eFax portal instead of the fax machine.
Step 3: Send your first fax. To send a fax from DiaFax, log into your portal, upload a document — PDF, Word, image — enter the recipient fax number, and click send. That is it. You get a delivery confirmation when the fax goes through. The recipient receives a normal fax on their end, whether they are using a fax machine or cloud fax themselves. You can also send faxes from your phone or tablet.
Step 4: Receive faxes. Incoming faxes arrive as PDFs in your secure DiaFax portal. No paper, no toner, no walking to the fax machine. You can view, download, forward, or print them from any device. Multiple people on your team can access the same fax number with their own logins — no more fighting over who grabs the fax from the tray.
Step 5: Cancel your fax phone line and retire the machine. Once your number is ported and you have confirmed everything works, call your phone company and cancel the dedicated fax line. Unplug the fax machine. Reclaim that desk space. You are now faxing from the cloud — faster, cheaper, more secure, and from anywhere. Ready to make the switch? Visit diavoice.net/services/diafax or call 256-724-3100.
